Mission Statement and Outreach Goals
Mission Statement
We at the SciMedGRS Outreach Committee aim to expose underrepresented minorities of all age levels to STEM fields, thus fostering trust and interest in science and the scientific community.
Elementary Outreach Goals
Plan and participate in science education events that introduce science concepts in a fun, interactive way. Physical demonstrations and hands-on exploration stations are historically effective at making science accessible to students at this level. A successful Elementary event will encourage young minds to engage in curiosity and exploration in their everyday lives.
Middle/High Outreach Goals
Plan and participate in events that encourage scientific thinking and higher education. Exploration stations and demonstrations must be more challenging at this level. At this level, some events may be focused on general college preparation, and all students should be exposed to the benefits of higher education regardless of field. A successful Middle/High event will encourage students to consider the future and how science can help them achieve their goals.
Undergraduate Outreach Goals
Plan and participate in events that promote career advancement at the undergraduate level. Seminars and panels will be the primary form of outreach at this level, and topics will include study tips, job interview assistance, and STEM-specific challenges. A successful Undergraduate event will give students confidence and teach them professionalism.
Affiliations
The SciMedGRS Outreach Committee is affiliated with Science and Medicine Graduate Research Scholars program and shall abide by the rules, regulations, and policies set forth by the University of Wisconsin-Madison. In instances of conflict, the rules, regulations, and policies of the University of Wisconsin-Madison shall supersede this document.
Obligations: All Members
Meeting attendance
A regularly scheduled meeting will be held once per month. Special meetings may be scheduled if necessary.
All members of the SciMed Community will be invited to all meetings. Agendas and minutes will be sent to entire community in order to encourage participation.

General Information
¤ One event will be held per month in order to keep participation high.
¤ Officers are held accountable for the responsibilities outlined below.
¤ Co-chairs must be cc’ed on every email.
¤ Officers must attend every meeting or schedule a separate meeting
¤¤with one of the co-chairs.
¤ If unable to attend the monthly meeting, event coordinators must ¤¤email the committee at [email protected].
¤ Officers must maintain good academic standing.
Co-Chairs
Responsible for oversight of all activities as well as correspondence with SciMedGRS community and leadership. Two co-chairs will have overlapping responsibilities over the course of the year. Co-chair positions must be held for a minimum of three semesters!
Duties are as follows:
Outgoing Co-chair: Devise agendas and preside over meetings for the Fall semester. Provide guidance to incoming co-chair and assist in a limited capacity during Spring semester. Assist in smooth transition of officer positions. Manage listserv.
Incoming Co-chair: Learn from outgoing co-chair during Fall semester, then devise agendas and preside over meetings during Spring semester. Revise by-laws for the next incoming co-chair at end of Spring semester. Manage listserv.
Event Coordinators
Responsible for developing events and ensuring successful execution. Coordinators will establish contacts, locations for events, and discern the material/volunteership requirements for each event. In order to ensure a manageable task-load, two coordinators will be assigned to each age group (Elementary, Middle/High) for a total of four coordinators. Coordinators must be in constant contact with co-chairs during the establishment of each event. If event coordinators cannot attend a meeting for any reason, they must email the entire committee with an update ([email protected]), even if the update is minimal.
Undergraduate Representative
Responsible for advertising undergraduate-oriented events to peers. Undergrad rep(s) will assist committee in finding relevant career advancement topics, as well as finding new groups on campus for advertising purposes. Involvement with pre-established groups such as McNair, PEOPLE or POSSE is helpful, but not a requirement.
Secretary
Responsible for recording minutes, formulating sign-up sheets, uploading documents to shared drive, and communicating action items to committee. Secretary will also maintain an organized record of all contact personnel affiliated with different groups on and off campus.
Communications Specialist
Responsible for documenting activities by committee on SciMed and Outreach websites. Speicalist will collect pictures from event attendees and upload them to the website in a tasteful and attractive manner.
Materials Coordinator
Responsible for gathering materials for each event and for maintaining a live document of all materials available to the committee. Materials coordinator will assist event coordinators with formulation of new demonstrations in order to conserve budget. Having access to a car is helpful, but not a requirement.
